My first thought was ìdummy, I misspelled the password,î and so Iíll enter it again. But, same result! Sometimes you will get in a situation where the only action you can take is always to click the Cancel button, which gives you this warning:

QuickBooks is not able to send your e-mails

At this stage the next thing most people do is always to return to the Send Forms preferences to look at the settings for the Email account. If you edit the settings, you might be permitted to change the server name, port and SSL/TLS setting. To tell the truth, We have no idea the things I should change here (Iím glad that Intuit added a Reset Default button to displace the initial values). Nothing that you could change here appears to make any difference. I canít get Google Email to utilize QuickBooks desktop. I see many people complaining relating to this issue.

Hereís a clue. In some cases you will get a contact from Google just like the one below, which talks about an app that ìdoesnít meet modern security standards.î HmmmÖ.

In this day and age of hacker attacks back at my online accounts, warnings similar to this really concern me. I do want to know what is being conducted! That is wanting to break in to my Google account?

This message doesnít say it was Email which was part of the issue. It doesnít say that QuickBooks had almost anything to do along with it. It can mention the full time that this dilemma occurred, and therefore could be helpful to some people (I rarely focus on what time I became running a particular program whenever I ran into an error). It is a bit cryptic. And, Iíll remember that in testing, I donít always fully grasp this email. But, it does give me a clue. An ìappî tried to sign in to my account. Like, maybe, QuickBooks trying to log in with my Email username and passwords?

So, letís fix this matter.

Iíll go to https://myaccount.google.com/intro to get on my Google account. From the My Account page, Iíll click the link for Connected apps & sites.

There was a section here titled Apps attached to your bank account, and you also might see Intuit QuickBooks listed. However, this is simply not what you need ñ which includes to do with QuickBooks Online, if you have connected it to Email for the contact list. Ignore this.

A little further down the page youíll find the thing you need (note, Google may rearrange these pages whenever you want). Allow less secure apps. It is set to ìOFF.î

Sounds a little backwards, Iím turning ìless securityî to ìon.î Normally I would expect you to be turning higher security ìon,î but that isnít how Google set this up.

Now, letís go back to QuickBooks and try to send that invoice using Email again. Success!!!

Sending Google Email with QuickBooks

Changing the Allow less secure apps setting ON in Google account settings is often the way to fix this issue in QuickBooks. Every case where Iíve seen this problem first-hand, this has fixed the problem.

Needless to say, there is some concern here. Iím lowering the level of security that I have around my Google account. Not just my Email account, my entire Google account, since there is just one login to my account. Youíll get a warning message from Google that says ìPlease know that it is now easier for an assailant to split into your account.î Iím not certain that I like this.

I donít understand how many apps that i personally use with my Google account are influenced by this setting. I do use QuickBooks desktop for my companyís accounting, but i personally use Microsoft Outlook for sending forms and reports. I donít need the lower security for QuickBooks. I prefer to possess an increased standard of security for my Google account.

However, I have other apps attached to this Google account, such as Outlook, QuickBooks Online, Trillian, Notability (for my iPad), and some other Google apps. If I change this setting back once again to an even more secure level, can it affect other apps that Iím using?

The unfortunate answer is that we now have several apps that I prefer that need the reduced level security setting in Google. Darn it.

As companies like Google work to improve security, other developers need to play catch-up to modify their integrated products to suit the changes. That may take time. Intuit is aware of this matter and is addressing it, although they havenít provided any specifics on when a change might occur, or which QuickBooks products would be updated.

For the time being, at the very least there clearly was a workaround to have Email working. Hope this helps!
