File sharing is the common terminology used in the offices of today’s generation. Last two decades have witnessed excessive use of the computer and internet in our day-to-day activities. The use of computer not only save the time of doing any work manually every time but has also minimized the use of paper. Earlier when any file was required to be shared within an organization it was done manually from one table to another, which uselessly extended the duration of doing any work on an urgent basis.
With the entrance of a computer, file-sharing became an easy task. As every file stored in the computer system is recorded as data, it became easier to share the file within all the concerned persons at the same time by storing at some common location. This not only facilitated the instant sharing of the file, but also the time required to finish any task. But, the problem while sharing the file through a computer is that sometimes it was shared with the people who had nothing to do with it. This at some point was risky for the organization, as its confidential information might be shared with the persons not concerned with the matter.
Understanding the seriousness of matter nowadays lots of precautions are being adopted by the organization to retain the confidentiality of the file. Let us for instance say the Salesforce department of an organization. Every information recorded by the Salesforce is considered as data. The file-sharing facilitates the Salesforce team to share the necessary information and data to the concerned departments (accounts, stores, and despatch). All the concerned departments have the facility of access, edit, and share the file within themselves at the same. All this is however done through an application.
The process of sharing adopted by the Salesforce is mentioned below:
Step 1: To share the file the user has to login with his Salesforce account, and click on the file he intends to share with the other users.
Step 2: Click on the Attach File icon and select the file he wants to share by browsing it from its location.
Step 3: As the third step, he has to select the users with whom he wants to share the specific file.
Step 4: Click on the submit icon to share the file for access and editing by others.
Summing-up: File sharing is an instant way to circulate the common file within all the concerned groups. The only thing that needs to be kept in concern is to adopt all the protective measures to secure the file from the people not related to it.
